We have a fantastic opportunity for an Executive Assistant (Full-Time) at Montefiore Mount Vernon Hospital supporting the Director of Nursing Administration and leadership teams.
Job Summary The Executive Assistant will be providing secretarial and routine administrative support to the Hospital's Nursing Administration.
Prioritizing assignments using sound judgement to ensure effective office operations while also managing the workflow, calendar, documents, and files of the Director of Nursing and leadership team.
Job Duties Include:
Greet visitors and direct them appropriately.
Screen and prioritize incoming calls.
Prepare, sort and type routine correspondence, reports, and forms Assist in the planning and logistical coordination of meetings and office activities, forum, and conferences.
Prepare and follow up on purchase orders, check requests and petty cash Receive and initiate extensive regular outside contacts on behalf of the executive offices, elected representatives, and customers in order to fulfil an executive request Handle confidential information which would have immediate negative impact on the Hospital if shared beyond its intended audience Coordinates the distribution of Senior Director's department workflow among the various staffs as necessary Manage the workflow, calendars, and files of the Senior Director of Operation Maintain employee personnel files for the nursing department Process timecards and verify attendance, hours worked and pay adjustments via Kronos payroll system.
Education and Requirements:
High School Diploma required.
Associate degree preferred At least 5 years' experience working as an executive assistant Excellent written and oral communication skills Attention to details and accuracy Ability to handle multiple projects simultaneously Proficient in Microsoft Office (Word, Excel.
